How to mail merge

In Microsoft word, there are many features we may not know how they work. [Thanks to my previous employer], I learned how to use a feature called "mail merge". This is a very useful tool when you have 10-20 email addresses and you want to send out a template email at once using your Outlook.

Things you will need:

1. Microsoft Word 2007
2. Microsoft Excel 2007
3. Outlook

First of all, set your Bulk as a default from which you'll send out email. Right now it is set to Inbox. If you have 10-20 emails to send out then don't worry about this. But if you have more than 50, then you might want to consider this otherwise your outlook will freeze on you.

FYI: Youtube video explaining this is coming soon !

Let's get started.
Here are step by step instructions on how to approach this:

1.    Open up the excel sheet with the leads list
2.    Make sure the leads are separated by First name and Last name

3.   Select everything. Including Header.
4.   Press Alt. Press I key , Press N key and Press D key one after the other.
5.   A new window will pop up. Click on “new”

6.   Click ‘OK’. Close the window.
7.   Open a word document with invitation prompt written in it. Put your curser after “hello”

8.   Go to ‘Mailings’ tab on the top
9.    Select “select recipients’ from the ribbon. And then select “Use existing list”

10.   Select the excel sheet which you used in step#1
11.   Select “insert merge field” from the ribbon and select “first_name”
12.   You should see something like this:

13.   Put a comma after <<First_Name>> to make it look like “Hello Nidhi,”
14.   Click inside <<first_name>>
15.   Press ALT+F9
16.   Write down exactly like this image: {MERGEFIELD First_Name \ * charformat},

17.   Select the entire gray area and Bold>Unbold
18.   Press ALT+F9 again
19.   Click ‘Preview results’ from the ribbon to preview names.
20.   Click “finish & Merge” and select “send email messages” and press OK.

Learn to Learn and Learn to Forget

Greetings,

Today I learned two things: 1) Learn to learn and 2) Learn to forget

These are a piece of advice from two HP employees who has been working in IT field for more than 20 years. They said that in IT, lots of things come and go. By the time you finish learning a new computing language, a new one comes up which is more reliable everybody starts to talk about it.
So his point was that we should learn and forget and then learn other new things.in

This will go on and on and we will have no control over it. So folks, learn to learn and learn to forget!

It is better to gain knowledge of everything than going deep in just one subject. If you want to succeed in your career then learn to be curious, learn to be enthusiastic, learn to adapt new things quickly and be prepared to fail!

I must warn you that you WILL fail every now and then in your career so be prepared! However, do not repeat same thing for the next time. Learn to improve. Improvise yourself.

Another important thing I want to say is that I have noticed many people who will compete with their classmates or co-workers. That's the most horrible thing you can do in your career. If you are one of them, please do not compare yourself with anyone. Compare yourself with you and concentrate on improvement.

My favorite lines:
  • Don't run  after success. Be capable, success will run after you :)
  • It does not matter where you start, it only matters where you end up!

Do something productive everytime

So, let's get started.

First of all, let me elaborate more on 'Never.Stop.Learning' which is the heading of my Blog as you can see.
I believe that there is no such thing as a learning age. People start learning the minute they are born until the very last day. Life is too short, so why should we waste it doing unproductive activity?

We should all do something productive even if we are on Facebook. Now I am not saying Facebook is an unproductive tool. We can find many productivity in Facebook as well. Visit the pages that interest you. 'Like' them. Try to learn something out of the discussion on the page.

If you are a student like me, 'Like' the University Recruiting page for a company you want to work for. Know what they are up to and see if they're coming to your University or not.

Since I am a student majoring in MIS (Management Information Systems; Fantastic major btw), I am going to talk about some technical stuffs for a couple of months at least. But let me remind you that this blog is not limited to technical stuffs, I am planning to blog variety of things I learn.

Getting back to liking the page on Facebook, I found a great resource to learn technical stuffs such as programming. The page is called "Safari Books Online".

https://www.facebook.com/safaribooksonline

It's a fantastic resource and they do offer free books that you can read online.

So, go ahead and start finding the book that interests you.

Again, Never.Stop.Learning.
